Meeting Minutes
Monday, December 14, 2009
In attendance were all members of this
commission: Lianne Finger, Lynne Hutton, Cindy Rintoul, and Sandy Wall.
The most recent Meeting Minutes are from
August 2009. This Commission did not meet in September or October. On November
9, Lynne and Sandy met, but had little to discuss. The November 20 deadline for
Heart to Heart came and went; the issue was published successfully,
although there was no article about the season of Advent.
Heart to Heart
We had discussed doing a feature of all
new and returning Parish Pastoral Council member (installed in September). To
that end, in late November, a questionnaire was provided to all the members of
the PPC. Frank Smolko (PPC Vice Chair) will aid in getting those returned to us
with complete information (before the next deadline, we hope).
Frank asked that when all the
questionnaires are completed and returned to us, we compile a summary of PPC
members, which could be kept and updated by the PPC each year as terms expire
and new members join.
Frank also suggested an annual article
about the three major commissions of IHM: the PPC, the Finance Council, and the
Capital Campaign team. One commission could be featured in each one of the
three H2H issues.
The next deadline is Friday,
February 5, 2010. Ash Wednesday is February 17; Easter is April 4. The
next issue must include information about Parish Renewal…reminders will be sent
to Bob Carr, Wanda Garrett, Fr. Jack and Fr. Joe, and Deacon Wally to submit
information as soon as possible. Reminder will also be sent to Bob Katana to
submit information about the Mardi Gras supper and Easter Egg Hunt (if there is
one).
Web Site
There is no new information about
updating the Web site. FYI, on December 19, Sandy sent a request to the Web
committee to update the “Upcoming Activities” section on the home page: to
delete the September dinner/dance information and insert Christmas and New
Year’s Mass schedules.
PPC Notes
Reminder: PPC meets the fourth Monday
of every month with (some exceptions, such as December); the next meeting is
January 25, 2010 at 7:00 if anyone cares to attend.
So the PPC meetings can be better
planned, we (and all other commissions and committees) have been asked to send
our notes, needs, etc. directly to Tom Yaudes (Chair)
tdyaudes@aol.com
and to Frank Smolko (Vice Chair) nccrabs@earthlink.net
about a week in advance of the PPC meetings.

On November 9, Lianne
sent an e-mail reminder to all Parish Pastoral Council members that the deadline
for the next issue is Friday, November 20. As always, reminders have been in
the church Bulletin as well.
In October, we
discussed (via e-mail) doing a feature on the newly installed PPC members.
Sandy suggested a questionnaire …Cindy proposed that the questionnaire be handed
out at the PPC meeting, but it didn’t get written and distributed in time for
that meeting. So…we’ll do it via e-mail. This feature may need to run in two
issues of Heart to Heart, as there are 14 regular members and three “at
large” members.
There was no further
business for us to discuss.
The next meeting is
scheduled for Monday, December 14, 2009; we will meet if needed.

the updated IHM Web Site. A meeting is scheduled for Monday, July 13 to view

Change in Leadership

Frank Smolko has formally announced
his resignation from this commission. According to previous Meeting Minutes,
Frank has been chairman since July, 2003. Many thanks to him for six years
of service!

Sandy will continue to take meeting
minutes and distribute them to members of the PPC.

March 9, 2009
Present
at this meeting were Frank Smolko, Cindy Rintoul, Lynne Hutton, and Sandy
Wall. Due to a schedule conflict, Lianne Finger was unable to attend.
After the
meeting was opened with a prayer, it was agreed that we would not meet in
April. The next meeting will be the second Monday of May – May 11, 2009.
Heart to Heart
We discussed the March 2009 issue, which was well produced, but
included no information about Parish Renewal. No information was submitted
by the pastor, parochial vicar, or Liturgy Commission Chairman, and no one
from this Commission actively sought information. In the future, members of
this Commission will be more diligent in obtaining a “story” about important
events in our parish.
PPC Update
Wally Haarsgaard will NOT be the replacement Chairman of the
PPC, because he has been hired as Faith Formation Director (replacing Fred
Scarletto).
There

May 11, 2009
In attendance were Frank Smolko, Cindy Rintoul,

was obtained by telephone.
The meeting was opened by Frank with a
prayer.
Heart to Heart
Due to budget reductions, Heart
to Heart will be published three times a year instead of four. The
three issues will most likely be: FALL
(welcome back to school,
prep for Advent),
WINTER (Lent/Renewal), and LATE SPRING
(Pentacost).
Deadline for stories for the
upcoming “Pentacost” issue is Friday, May 29 (although photos from
the International Festival on May 31 can be submitted after that date).
Frank will remind (via e-mail)
Commission Chairs to submit items from their committees.
Web Site
Several corrections and updates
have been made to the current site (submitted by Sandy; input by Larry
Kwan), but some member rosters still need to be addressed. Many committees
take a summer break, and install new officers in early fall. More updates
will be made as needed.
On June 22, at 7:00 in Meeting
Room I, Larry Kwan will present us with a new, interactive Web site.
Please make every effort to attend this meeting.
PPC
The new Chair for the Parish
Pastoral Council is Tom Yaudes, who can be reached at 336-869-4959.
The financial plan for the new
facility at IHM has changed to 50/30/20 (50% required in cash/30% in
pledges/20% to be borrowed).
Other Business
International Festival Publicity:
Lianne sent press releases to
local newspapers; Sandy contacted local radio stations. This event is on
the Web site “community calendars” of three Clear Channel Communication FM
radio stations (99.5 WMAG, 104 WTQR, 100.3 WVBZ), and on AM 600/1200 WSJS.
Leadership: After six
years at the helm, Frank Smolko is seeking a replacement as Chair of this
Commission. Frank may stay with the PPC, but in a different capacity.
Sandy will facilitate our Communication meetings, and communicate with the
PPC (e-mailing Meeting Minutes, for example) , but will not function as full
Chair.

Monday, August 04, 2008
In
attendance were Cindy Rintoul, Lianne Finger, and Sandy Wall. Absent were Lynne
Hutton and Frank Smolko. Diane Jakubsen has recently announced her resignation
from this Commission.
Heart to Heart
Most of the meeting was focused on the next issue. Filling the gap left by
Diane’s absence will take time and effort. We discussed the general
layout of the newsletter, and what features should be present in the next issue,
including but not limited to:
Capital Campaign;
Eucharistic Congress;
School events (upcoming);
Youth Ministry events (past and upcoming);
Reports from various Commissions/Committees;
Calendars
We set a deadline of August 22 for
items to be included in the upcoming issue.
Lianne
will be in touch with Diane for assistance in planning this issue, and will ask
for guidance regarding the subsequent Advent issue (timing, what to include).
Sandy
will contact parish commissions/committees to verify leadership positions and
obtain updated contact information, and will encourage committee leaders to
submit information to the Communications Commission for inclusion in Heart to
Heart.
Frank
is asked to again remind chairmen/women at the next Parish Council meeting that
it is their responsibility to submit information about their commission’s
activities to Heart to Heart on a regular basis.
Recognizing Diane’s Service
We discussed a few ideas for expressing
appreciation for Diane’s contribution to this Commission, including:
A feature article in H2H and/or
An appreciation dinner (Commission members and
priests?) and/or
An engraved plaque
Of course, we’d like the input of other
Commission members, as well as that of Fr. Jack and Fr. Joe, before proceeding.

Monday, January 7, 2008
Present at this meeting: Cindy Rintoul, Diane Jakubsen, and Sandy
Wall.
Absent were: Frank Smolko, Lianne Finger, Lynne Hutton. John McGinnis
also did not attend.
The meeting followed the agenda as provided by Frank in his absence:
Heart to Heart
Deadline is this Thursday, January 10, 2008; will publish on
January 31; mail February 1. Diane noted that she still needs to contact
certain contributors to remind them to provide her with information.
Also, it was noted that the issue published on December
13 has not been received by two of the three members present at this meeting;
there may have been a delay at the post office because of heavy holiday
mailings…? Unfortunately, there is no way to verify that all the issues were
distributed by the postal service.
Stewardship Weekend – February 2/3
This date is not convenient for anyone present at the
meeting, so we respectfully ask that it be rescheduled. Additionally,
members of this commission are asked to “brainstorm” about a more effective,
productive method of handling our “weekend.” Current practices yield no
results. The yellow “Stewardship” form was included with this past weekend’s
Bulletin, and parishioners were asked to prayerfully consider areas in which
they can donate their talents.
Parish Pastoral Council
There was no meeting last December.
Frank will probably need a substitute to attend the January
28 meeting. Any takers?
The PPC has asked this Commission to propose ideas on how to
improve parish feedback “from the pews.” Our ideas:
a)
first of all,
we need to know exactly what the PPC wants to know, and how often
b)
issue a
pre-Mass written questionnaire (we’d need to know what questions to pose; see
“a”)
c)
have a
post-Mass meeting, rather like a mini-town hall meeting, for any parishioners
who are willing to stay. Some may prefer to stay after Mass, rather than coming
out on a weeknight.

Sandy will work diligently this weekend to update, if the
computer will process.

Monday, September 10, 2007

McGinnis. The meeting was opened with a prayer.
FunFest Update
STILL pending is the wine
tasting …latest news is that our request was forwarded to “Corporate” (of Total
Wine), and Frank Bruno is still awaiting an answer, as are we. Sandy will
continue to make follow up calls.
Heart to Heart
Upcoming deadline is
Thursday, September 27 (to publish on October 18).
Next deadline will be
Wednesday, November 21 (to publish on December 13).
The new folding pattern (to
accommodate bulk mailing costs) has created a lay-out challenge, but is
workable.
PPC Update
On Thursday, September 20, Fr.
Joe will conduct a Liturgical Formation session. Members of any Commission
will benefit and are invited, not only Liturgical Commission members.
The Communication Commission’s
“Stewardship Weekend” has been moved to January, 2008.
Eucharistic Congress in
Charlotte is September 21 and 22; IHM is not chartering a bus this year.
Long Range Planning Committee
hopes to have a drawing of the new campus to unveil at the FunFest on October
27.
Directory
Distribution of the Directory
is now in the hands of the church office; if Ann Marie Bullock would like for
this Commission to have another distribution weekend (for labeled, unclaimed
books), she need only ask!
John McGinnis
John spoke of the need for IHM
to have more exposure in the local newspaper, The High Point
Enterprise and perhaps also in the News and Record, as well as the
diocesan paper, the Catholic News and Herald. He would like to work on
creating better relations between the media and IHM, and stressed that IHM needs
to be seen as the integral part of the larger High Point community that it
is.

Monday, August 6, 2007
Present
at this meeting were: Frank Smolko, Cindy Rintoul, Lynne Hutton, Lianne Finger,
and Sandy Wall. Father Jack also visited for a time. Absent was Diane Jakubsen.
Father
Jack offered encouraging words and reminded us that in serving on this
commission, we are proclaiming the news of salvation! He also offered an update
about plans for the new building(s). A real working draft is being drawn by
architects. The building should begin by 2010; the parish will need to raise
$10 million. Also, the mortgage on the current building has been restructured
and should be paid off by 2010.
Heart to Heart
Diane (although absent) communicated that the cost of bulk mail is
increasing; she will work with the printer to make necessary adjustments if
possible to keep costs down.
Sandy mentioned an idea for a future article: “quinceanera”
- the Latina celebration of a young woman’s (15 year old) coming of age. We are
seeing more of these celebrations scheduled at IHM, as our Hispanic population
grows, and many parishioners are not familiar with this celebration.
FunFest News
Per Lianne – details are still pending about how this event is to be managed.
Our wine tasting plans are also still up in the air, but Sandy is working on
contacting a supplier who could conduct it (Frank Bruno with Total Wine/Triad
Wine and Gifts). We considered some alternate plans, in case the wine tasting
does not pan out:

Mulled cider
o
“Guess the
Number in the Jar” game – whereby participants guess how many of various items
are in each jar; the closest guess wins the jar full of goodies (candy, gum,
marbles, etc)

May 21, 2007
In attendance at this meeting were: Cindy Rintoul, Lianne
Finger, Lynne Hutton, Diane Jakubsen, and Sandy Wall. Frank Smolko
was absent.
After Sandy led the opening prayer, the Minutes from March
27 were reviewed and approved.
Directory Update
The new directories have arrived! Frank will affix
labels for all parishioners who had photos taken. Directories will be available
for pick-up the weekends of June 9/10 and 16/17 after all Masses. After those
dates, parishioners will be able to pick up the remaining labeled books from the
church office. A limited number of un-labeled books will be available on a
first-come, first-served basis. The church office will keep some on hand to
give to new parishioners as they join the church in coming months.
Diane will prepare Bulletin announcements.
Lianne will prepare “alphabet signs” to clearly mark the boxes. Sandy
will contact Brad Hammett to request his help in communicating with the Spanish
Mass-goers.

Web Site Update
Members of this Commission are reminded to check the sites
which they were assigned (quite some time ago) for accuracy and timeliness.
Sandy may send a note to all commission and committee heads who are represented
on the Web site “directory” to remind them of their responsibility in keeping
the Web site current.
Fall Festival Update
Members are reminded to contact local wineries to ask if
they are interested in participating in “our” wine tasting booth. Of course,
wineries would be allowed to sell their products. As we contact wineries,
please share the information with other members, so we do not duplicate each
other (too much!).
Other Business:
- International Festival on Pentecost Sunday (May
27): Sandy and Diane will help sell tickets for the 50/50 Raffle
- Summer Meeting Schedule: June 4 at 7:00 pm…no
meeting in July…August 6 at 7:00 pm. Watch the bulletin and/or e-mail
announcements for confirmation/changes to this schedule.

March 27, 2007

After Cindy led the opening
prayer, we reviewed and approved the minutes from the February meeting.
Heart to Heart
The exact deadline for H2H
has not been established, but aim for late April or early May.
WEB Site
We are reminded to check our
“assigned” WEB pages and prod committee heads to keep their information
current.
Long Range Planning
Committee Update
Tuesday, April 3, is the
date when a report from the architects is expected. This Commission will need
to help publicize the information.
PPC Update
60th Anniversary
Fall Festival (October 26/27): We decided it would be fun to host a
wine-tasting event at our “booth.” All are encouraged to contact local wineries
in coming weeks and research how this is managed.
Post-script: after
this meeting, Frank mentioned this idea to Wanda Garrett, and she expressed her
approval.
International Festiva (May
27) Fundraiser for Holy Family Parish:
IHM School and Church Staff
will develop the fundraising idea, and this Commission will support their
efforts in any way possible. Frank will follow up with the Staff to find out
what their idea is. This Commission’s suggestion is to solicit various “ethnic
food” restaurants for gift certificates, and hold a raffle for the
certificates. This Commission does not support the idea for having games for
children for which they must pay to play.
Directory Distribution
(this information shared by
Frank in a follow-up e-mail message on 4/3). Directories are expected by April
24. The proposed course of action follows; to be confirmed at a later
date:
1)
Receive the directories and label prior to 4/28
2)
After Masses on 4/29, hand out labeled directories to those who had pictures
taken (no bulletin notice would be possible)
3)
Put notice in 5/6 bulletin; again, hand out labeled directories to those who had
pictures taken
4)
Excess directories distributed during 5/13 & 5/20 weekends on first come, first
get basis
We
will need to put the boxes of directories on the table after Communion and
assist those searching for their directory after Mass. Directories would be
labeled and split into boxes by surname. After the crowd has dispersed, we
would then put the boxes under the table to avoid people picking through them
prior to the next Mass.
The
5:30 Mass person would need to set up the tables and get the directories out of
the parlor closet and under the table. The 11:30 Mass person would need to
return the boxes to the closet and put the tables away.
Old Business
As
mentioned at the December 2006 meeting, Diane has created a press release
Protocol, and will distribute it to IHM Commissions, Committees and Ministries
for their use in helping us to help them publicize their events.

meet in April.

February 5, 2007
(Note: There are no written
minutes from the January 8, 2007 meeting. For the most part, the Photo
Directory was discussed. It is near completion! Also, Diane reported that
Heart to Heart is shaping up nicely, with plenty of articles and
photos.)
Commission members in
attendance at the February meeting were Cindy Rintoul, Lianne Finger, Frank
Smolko, Diane Jakubsen, and Sandy Wall. Lynne Hutton was absent.
Our Pastor, Father Jack, was
present at this meeting and opened with a prayer. He took a few minutes to
thank us for undertaking the Photo Directory project, as well as continuing to
produce Heart to Heart on schedule. Father reminded us that what we do
is MINISTRY, whether it is the weary task of coordinating volunteers to help
with the Directory, or piecing together an article for Heart to Heart.
His encouraging words were welcomed.
Photo Directory
Father Jack and all present
reviewed the draft of the Directory. A few changes were noted. Although the
Directories will probably be ready before then, distribution will be after
Easter (April 8). Frank has name labels that will be put on the back of the

As for extra Directories on
hand, we did not definitely decide how they would be disbursed. One thought
was to set aside enough for new families for about a year, and then simply give
the remainder to parishioners who did not attend a photo session.

her countless hours in working on this publication; to Cindy for coordinating
the volunteers, and to Frank for his organizational skills, leadership, and
support.
Speaking of
volunteerism…Frank informed us that mileage accrued for volunteer efforts is tax
deductible!
PPC Update
This Commission, along with
Parish Staff, Stewardship, and Properties & Facilities Commissions are “charged”
with the next fundraiser for our sister parish (in Spring 2007, at the
International Celebration, according to the original notice from Beth Griffin).
Frank suggested that because the Staff constitutes the largest of these groups,
we will follow their lead and support their efforts. Frank will contact
the Staff and the other two commissions for their input. The Stewardship
Commission is comprised of David Rathburn (paperfab@aol.com)
and Phil Ledesma (jal1954@aol.com).
Properties & Facilities is headed by Bill Stoddard (phone 887-5031).

December 4, 2006
Present at this meeting

There was no meeting in
November. The minutes from the October 30 meeting were discussed and
approved.
Heart to Heart
The last deadline was
November 22; this issue is scheduled to publish on December 14. The deadline
for the Lenten issue is January 25, to publish on February 15. Lent begins on
Ash Wednesday, February 21, 2007.
Larry Kwan has
requested that a “protocol” be established for publicizing events that all
organizations and ministries in the church can utilize. It was agreed that this
is a good idea, and will remind other ministries that this Commission is here to
help them in communicating their events, needs, etc. After Christmas, Diane
will create a format and distribute it.

Other discussion during the
meeting was focused on the upcoming directory and its progress.

October 2, 2006

Diane opened the meeting with a prayer.
Heart to Heart
The most recent deadline was September 28, to
publish on October 19. The next deadline will be November 21, to publish on
December 12. Diane reports that most committees and ministries are getting
stories in on time.
Photo Directory
Our challenge, which Frank will present
at upcoming Parish Pastoral Council meetings, is getting committees and other
commissions to be responsible for “hosting/greeting” during particular blocks of
time. We need two people per shift.
The format of the directory will be:
Spiral bound; 8 ½” x 11” (the
most recent one is 8” x 10”)
18 pages for Pastoral Staff,
History, Sacraments, Commissions, and School before
the photos of parishioners begin.
We will need photos of committees, commissions
and ministries. Sandy will contact Fr. Tony , because about a year ago, he was
soliciting photos from groups. (Update: contact Wes Frye to obtain a disc of
photos).
Stewardship Fair
This Commission received no new members as a
result of the recent Fair.
There being no further business, the meeting was adjourned
and closed with a Hail Mary.

updating and he had done that in the past.
PPC Update – from January
23, 2006 meeting
Topics discussed included:

Town Hall Meeting at IHM on February
8, at 7:30, following evening Mass and a free spaghetti supper. The purpose is
to get parishioners involved in the planning of what will be built at the
Johnson Street campus.
·
IHM’s adopted parish – St. Paul’s in
Pass Christian, MS. Beth Griffin is the chair for this sister parish assistance
committee. Various IHM commissions will be asked to host fundraisers over the
next two years to help St. Paul’s recover from Hurricane Katrina. More details
to follow.
·
Youth Ministry will have its 2nd
annual yard sale on March 25. A trailer has been donated for the storage of
donated items (it is on IHM School grounds).
·
The next PPC meeting is Monday,
February 27. Frank will be unable to attend; Lynne volunteered to represent
this Commission in his absence.
Photo Directory
Commission members are asked
to make calls to local photographers to start collecting information about
prices, packages, etc. The goal is to have a new directory published in 2007.
There are some directories from other churches for us to preview, but they were
unavailable at this meeting.

and thereby creating an impromptu Christmas party!
Lianne led the opening prayer, St. Francis

given to IHM, 212 (about 60%) were returned with money
- $5,000 was collected at the “Fifth
Sunday” collection in October, 2005 for IHM’s adopted sister parish, St.
Paul’s in Pass Christian, MS
- There will be another Eucharistic
Congress in 2006, on October 6 and 7 in Charlotte
- The Eagle Scouts will be building a
storage shed and additional tables at the IHM pavilion
Planning Committee
The Short Term plans are for a “Town Hall
Meeting” on Wednesday, February 8, 2006. The Communications Commission is
assigned with providing publicity for this meeting, which all parishioners are
encouraged to attend to discuss their Long Term ideas. Representatives from
every Commission and Committee at IHM have been asked to send representatives to
interim meetings. Frank and Lianne will represent this Commission; other
members are asked to support them as they gather information to present to the
Long Term Planning Committee, which will meet on December 29, 2005 (subsequently
cancelled) and January 26, 2006.

Heart to Heart
The October issue was well received.
Although High Point residents received their issue quickly, Kernersville
delivery took its usual week and a half and Lynne still has not received her
issue. Diane noted one formatting error with a picture caption on the front
page.
The December issue’s submittal
deadline is December 1st and publication deadline is December 22nd.
The Dec 1 date will be “enforced” to avoid last minute compilation so close to
Christmas. We hope to publish before the Dec 22 deadline depending on the
printer schedule. Some ideas for the December issue included reports on
Breakfast with Santa, the Torcha de Guadalupe celebration, and the Town Hall
meeting for Project 2010. Possible ideas for the Lenten (Feb) issue included
Lent, DSA, and Mystagogy.
Website
PPC members were reminded at the last
Pastoral Council meeting to forward updated member and event information with
the new liturgical year. We need to review who is responsible for which
sections. Diane will follow up on the “Parish Scrapbook” idea mentioned in
October.

Parish Pictorial Directory
Timing: We are looking at photo
shoots in the fall of 2006 so that directories would be available for the 60th
anniversary in 2007. Availability of adequate space for the photo shoot dates
will need to be explored early in the schedule planning.
Vendors: We will explore our options
as some general dissatisfaction with Olan Mills was noted. Each committee
member is asked to review previous directories for ideas and Diane will bring in
some directories collected in Charlotte in September. Diane will also check on
information from the 2002 directory.
Vendor Expectations: We would expect
a free directory and portrait per family. We will rely on the vendor to provide
guidance for logistics based on our parish size. Multiple photographers would
be helpful to reduce time required. Reasonably priced packages should be an
option for those who would like to purchase additional pictures. No hard sell
tactics. Child friendly photographers are to be a given.
Volunteers: We will need a lot of
volunteers for the Sunday after-Mass signups and to help during the photo
shoot. We would like a commitment from the PPC committees to support us with
finding volunteers and with their time to assure we will have enough volunteers.
Meetings
The next meeting is Monday December 5th
at 7pm. We will not meet in January. Frank will check with Sandy on her
schedule conflict to determine if we need to move the meeting date.

October 3, 2005
This meeting was the first to
be held on the first Monday of each month (instead of the third Monday),
in the Parlor. In attendance at this meeting were Cindy Rintoul, Lynne Hutton,
Lianne Finger, Diane Jakubsen, and Sandy Wall; Frank Smolko was absent.
No minutes were written for
the meeting held on August 15, 2005. Present at that meeting were Cindy Rintoul,
Lynne Hutton, and Diane Jakubsen; absent were Frank Smolko, Lianne Finger, and
Sandy Wall. At that meeting, Father Jack visited and thanked the members for
their commitment to this commission and to this ministry.
At the October 3 meeting,
after an opening prayer, the following items were discussed:
Heart to Heart
- Deadline for the next
issue is this Friday, October 7, 2005.
- It was noted that the
phrase “Quarterly Newsletter” on the top of the publication needs to be
changed, since it is now bi-monthly, not quarterly. However, even
“bi-monthly” is not quite accurate, because the June/July issue will be
eliminated. The phrase will be changed so as not to reflect a timeframe;
perhaps to simply, “Parish Newsletter.”
- It was suggested that
future issues feature a book review/commentary. This had been done
previously, but faded away when Stephen Martin left the Commission a couple
years ago. By way of the Bulletin, parishioners will be encouraged to
submit their comments and reflections regarding books they have read that
deal with Christian/Catholic spirituality, growth, etc. (Diane will submit a
notice to the Bulletin).
Website
- Now that we are in a new
“commission year” (September to September), all members of this Commission
are reminded to view the various Web pages that had been assigned to them
and check for accuracy. We will communicate with each other via e-mail to
verify who is responsible for what. When changes for any Web page are
submitted to Larry Kwan for updating, the other Commission members need
not be “copied,” however, the president/chairperson of that particular
committee should be informed of the changes that have been submitted. Also,
committee presidents/chairs should be encouraged to check their own Web
pages and submit changes to Larry as needed; or, they may talk to us and
we’ll send the updates.
- Sandy and Diane traded
an assignment: Diane will be responsible for Holistic Health, and Sandy
will be responsible for Bethany Society.
- We discussed the
possibility of having one more “button” or link on the IHM Web site that
would feature photos and short commentaries on all the wonderful things that
happen in this active parish. We would call it the “Parish Scrapbook.”
Diane will ask her newspaper associates about privacy and photo issues. If
this is feasible, and we agree to proceed, the photos might have to simply
reflect events without including clear shots of anyone’s faces, especially
those of minors. This will be discussed further at future meetings.

did not discuss this without Frank in attendance.

The Communications Commission did not

After the opening prayer, the Minutes
from the May 16, 2005 meeting were approved.
Heart to Heart
- The deadline for the next
issue is Thursday, August 4, to go to press on August 25. Please
note this is one week later than the original July 28 deadline/August
8 publish dates.
- For reasons attributed to the
postal service (or lack of), the June/July issue was not delivered to all
parishioners in a timely manner. It was published on June 16 and in the
bulk mail system by June 17, but some people did not receive it until the
week of July 11. Diane reports that this happened about two years ago, at
about the same time. Unfortunately, we have no recourse against the post
office.
- Father Jack has communicated that
budgets need to be cut further, and asked if it would be possible for H2H to
publish five times a year instead of six. Cutting one issue certainly is
not a problem, and we agreed that the issue to cut is the June/July one.
Since the post office seems to have the most trouble delivering that issue,
and since a lot of people are often out of town during summer, that seems
the logical choice. Also, to reduce costs, Diane will inquire about the
feasibility of printing H2H on the church copy machine. One drawback is
that the machine may only be able to process 17”x11” paper (the same size as
the bulletin). The current format is the least expensive format possible
which still resembles a newspaper.
- We discussed having a “Letters to
the Editor” section, but decided against it for two reasons, mainly: one,
with all the parish events on which to report, there simply is not room.
Two, we would have to be willing to accept letters of praise/agreement as
well as letters of a negative/disagreeable nature, and we’re not willing
to do that. Heart to Heart is designed to be uplifting and to
accentuate the positive aspects of IHM!
- Features in the next issue will
include: World Youth Day in Germany; Stewardship Fair (September 10/11),
including a testimonial from our own Diane; Eucharistic Congress; Golf
tournament(s); K of C 5K Run for the Disabilities; the Farm Ministry’s
harvest; Parish Picnic (Sept 11); new leadership in Bethany Society and
Knights of Columbus.
PPC Update
- Lynne Hutton represented this
Commission at the May meeting and informed the Council that we have briefly
discussed the organization of another pictorial directory in 2007.
- The next PPC meeting is August
22.
Stewardship Fair
- Assignments for “manning” tables
will be discussed at our August meeting. Frank has already offered
to do the 7:30 a.m. shift.
Future Meetings
- This Commission will next meet on

not a problem, and we agreed that the issue to cut is the June/July one.
Since the post office seems to have the most trouble delivering that issue,
and since a lot of people are often out of town during summer, that seems
the logical choice. Also, to reduce costs, Diane will inquire about the
feasibility of printing H2H on the church copy machine. One drawback is
that the machine may only be able to process 17”x11” paper (the same size as
the bulletin). The current format is the least expensive format possible
which still resembles a newspaper.
- We discussed having a “Letters to
the Editor” section, but decided against it for two reasons, mainly: one,
with all the parish events on which to report, there simply is not room.
Two, we would have to be willing to accept letters of praise/agreement as
well as letters of a negative/disagreeable nature, and we’re not willing
to do that. Heart to Heart is designed to be uplifting and to
accentuate the positive aspects of IHM!
- Features in the next issue will
include: World Youth Day in Germany; Stewardship Fair (September 10/11),
including a testimonial from our own Diane; Eucharistic Congress; Golf
tournament(s); K of C 5K Run for the Disabilities; the Farm Ministry’s
harvest; Parish Picnic (Sept 11); new leadership in Bethany Society and
Knights of Columbus.
PPC Update
- Lynne Hutton represented this
Commission at the May meeting and informed the Council that we have briefly
discussed the organization of another pictorial directory in 2007.

will be discussed at our August meeting. Frank has already offered
to do the 7:30 a.m. shift.

- Project 2010 – Fr. Jack plans to reinvigorate the
Strategic Planning Committee.
- Lynne Hutton agreed to be the substitute for Frank at
the meeting coming up on Monday, May 23.
New Business
- “Discover the Triad” – once again, IHM will have an
advertisement in this year’s issue (produced by the News and Record).
- Stewardship Fair will take place on September 10 and
11 this year. As in the past, members of this Commission will be asked to
attend the table after all Masses. A schedule will be determined as the
date draws nearer.
- Summer meeting schedule: it was agreed that this
Commission will not meet in June. Enjoy summer vacation!
- Meeting day change – due to scheduling conflicts, one
member has requested that our meeting day be changed from the third Monday
to the first Monday of the month, beginning in October. Frank will check
with Ann Marie to determine if a meeting room is available to us. If the
change is approved, we will continue to meet on the third Mondays for July
and August (7/18 and 8/15), then not meet in September, then resume
meeting on the first Monday in October (10/3). If we find that a meeting is
needed between August 15 and October 3, then one will be arranged.

Parish Pastoral Council Update
From the February meeting:
- May 15 is the date for the parish’s first
International Festival
- A new ministry has been approved – a Farm Ministry,
whereby a plot of land will be used to raise vegetables for our community’s
needy. It is hoped that experts from A & T University will help get this
underway. Parishioners will volunteer to do the farming tasks.
- “Adopt a Family” is a possible new ministry
- Year of the Eucharist Celebration in Charlotte on
September 23/24; IHM (and other local churches) will be encouraged to send
bus loads of parishioners to Charlotte
- Pictorial Directory…our parish will be due for an
updated directory by 2006 or ’07. The Communications Commission may be
asked to organize the many volunteers needed to facilitate this effort.

Monday, February 21,
2005
In attendance at this meeting were Frank Smolko, Diane
Jakubsen, Cindy Rintoul, Lianne Finger, Sandy Wall, and prospective new member
Lynne Hutton.
Diane opened the meeting with a prayer. The minutes from
the January meeting were reviewed; a motion was made and seconded to approve.
In accordance with his plans to visit each committee and
commission, Father Jack spent a few minutes discussing this parish’s prospective
growth as development and growth come to the Triad area. The parish currently
has 1,251 registered families; Fr. Jack expects that by the year 2010, the
parish will easily include 2,000 families. He also expects the building debt to
be paid off within the three years allotted, even though pledges fell short of
the goal. Only when the current debt is paid can additions be made to the
Johnson Street campus. Rather than several new buildings (a school, a
fellowship hall, etc.), Fr. Jack envisions adding one large building that can
serve several purposes, sometimes simultaneously.
A few minutes were spent explaining to Lynne the purposes
of this Commission and how they are accomplished. Lynne has a degree in
programming and may be of help to Larry in keeping the Web site updated.
Web Site
Each member of this Commission was assigned a
number of committees from whom to obtain current information, which should then
be forwarded to Larry for updating the new Web site. Updates do not need to be
“copied” to Frank Smolko, but if we encounter problems getting current
information, please discuss this with Frank. We are encouraged to check our
assigned Web pages every month or so for accuracy. Also, we can tell committee
heads that new information can be sent directly to Larry.

Most recent February issue: all agree
it was well produced.
Deadline for the April issue is Thursday,
March 24, to publish on April 14.
Budget: cost is $1,350 per issue (down from
$1,750); however, H2H will be produced six times a year instead of four, so the
net cost may actually be a bit more than previously. Also taken into account,
however, is that some of those six issues may be only four pages instead of
eight, which will also bring the cost down. Diane will review the numbers in
more detail and present the budget. If the budgeted amount is not approved, we
will look into other options for raising money (perhaps fifth Sunday collection
or “special needs” envelopes). Advertising in H2H is a last resort.
PPC Update
At the last PPC meeting, the new Web
site was introduced by Larry Kwan. Feedback from other Commissions and
committees was very positive. The next PPC meeting is Monday, February 28 at
7:00 pm; as usual, anyone from this Commission is welcome to attend.

PPC Update
(from November)
Father Jack
plans to solicit input from each committee for projected needs five years out
for strategic planning.
Feasibility/advantages/disadvantages of posting parish financial details on Web
site: as a group, we agreed that if the pastor thinks this is necessary, we
could post the same report that is published once a year in H2H, but we don’t
understand the need for this to be available in “cyberspace.” The information
is readily available to any parishioner who wants to see it.
Web site
All were asked to review the new site before the
meeting. Progress has been made in the past month in bringing the new site
current. Members of this Commission will be assigned specific pages to
proofread. We hope to introduce the new Web site to the Parish Council at the
meeting on Monday, January 24, 2005. Although e-mail is a valuable tool and we
try to use it efficiently, we would also like to see one person from the Web
site committee who can attend Communication Commission meetings. Frank and/or
Larry Kwan will follow up with one parishioner who, last December, expressed an
interest in helping out but did not have access to a home computer at that time.

use to broadcast their events, needs, etc. The expectation is that each

- A special event may be
planned for January 23, 2005, which marks the first anniversary of the
Spanish Mass at IHM.
Web site
- The Bulletin of
10/17/04 includes a “want ad” for a person to update the IHM School Web
site. When/if a response is made to that appeal, this Commission may be
able to draw on that talent to help with the “new” IHM Web site. Current
updates and information should be directed to Larry Kwan.
- Parishioner e-mail
list: is it feasible? Diane reported that Ann Marie will bring it up at a
future staff meeting to get their response. The current software is not
capable of maintaining this much information.

Lianne
is working on her first article, concerning recent catechumens and how the RCIA
program continues to work with them as they “move forward” in their faith
journeys.
At the
April meeting, it was discussed that H2H become a bi-monthly publication.
Diane’s comment is that, while this may come to pass within the year, it won’t
happen over the summer months.
It was
discussed what, if anything, in Heart to Heart should be translated into
Spanish. Ideas included: important dates/upcoming events and the “Few Words”
from Father Jack. Joe suggested dedicating one page to include a
synopsis of all the other articles in the paper. It was also suggested that we
simply print a “call for needed items” in Spanish, asking what our
Spanish-speaking parishioners would especially like/need to see printed in
Spanish. In addition to this, Barbara will follow up with Jorge
Ballesteros regarding his printing of a bulletin in Spanish (see Minutes of
December, 2003).
Website
Joe
brought his laptop which allowed us to view the new site. The home page appears
to be nearly finished, with images from the church visible and a scrolling area
which currently includes the Mass schedule (already needs updating). Joe asked
for input as to what text should appear on the home page; others suggested a few
welcoming words from the pastor. Diane will check with Fr. Jack to see
if he’s agreeable to that.
Also, in
the margin near the scrolling text, it was suggested that a brief note of
upcoming events (to be updated monthly) and important phone numbers be listed.
Other information (i.e., mission statement, facts about the Oblates of St.
Francis de Sales, directions for getting to the church) would appear under the
“About Us” link.
We also
viewed the Communication Commission page to get an idea of the format that all
commissions will use (includes mission statement, meeting times, board members,
committee members, upcoming events). Frank will present this template at
the next PPC meeting.
Banners
Cindy
contacted Donna Flowers with High
Point Code Enforcement. In short, a banner may be displayed two times in any
calendar year, for a maximum of 30 days per banner. A permit must be obtained
each time a banner is displayed; $40 per permit. Vacation Bible School is
exempt from these rules. Cindy has a copy of all the legal wording and
diagrams, and she will provide a copy to the church office for the staff’s
information and records. Frank will share this information with the
PPC. With only two banners per year allowed, careful consideration must be made
in deciding what “cause” will warrant the use of a banner.

We welcomed Melanie to our meeting. Sandy led the opening prayer, after which
the Minutes from the February meeting were approved, with this correction: the
Welcome Dinner on February 21 was not a “pot luck” and members were not
asked to bring a dish.
“Odd Couple” –
this production has been cancelled.
Heart to Heart
The Lent 2004 issue was reviewed; we agreed it was well produced. One error
was noted: regarding the Mardi Gras dinner, the times and “alphabet
designation” (for what dish to bring) conflicted with what was in the
Bulletin. Next year, to alleviate this problem, the Editor will verify the
information provided to the Bulletin Editor before printing H2H.
Next issue:
The deadline for the next issue is Thursday, May 13, to publish on
June 3.
- The next issue will
focus heavily on RCIA recruits with pictures and profiles.
- Diane may do a
“relections” piece on the movie, “The Passion of the Christ.” With Fr.
Jack’s permission, she will use the Bulletin to solicit parishioners’

Parish Renewal
Barbara Dobbins was not at this meeting, but she had confirmed via e-mail that
IHM’s Renewal information was communicated to other local churches (with hopes
that they will publish in their bulletins).
Website
Joe used his laptop computer to show the Commission various templates that might
work for re-vamping the IHM site. The Commission agreed on Allwebco’s
Execmed format, because we like the color (hospital-scrubs blue, which we
see as the color-of-Mary blue), the “drop-down” features, the scrolling message
opportunity.
Sandy reported that she had reviewed all of the current links under “PPC” on the
current website, and nearly everything is out of date or in need of some
improvement.
Frank will e-mail Commission and Committee chairpersons to inform them that we
are working on a “new” website, that information will need to be updated, and
that we on this Commission will be contacting them further. It was discussed
that each Commission and Committee page will need to include a mission (or
purpose) statement, current officers, and if possible, a schedule of the current
year’s events. We will strive to have a consistent, user-friendly format.

February 9, 2004
In attendance at this
meeting were Diane Jakubsen, Cindy Rintoul, Barbara Dobbins, Joe Risi, and Sandy
Wall. Barbara opened the meeting with a prayer.
The Minutes from the
January 2004 were approved as submitted.
Heart to Heart
Those present at the meeting looked at
the new banner for H2H. Because it is consistent with other church stationery,
it fits with the church’s “corporate identity.” Diane informed us that upcoming
issues will again be printed on “regular” (and less expensive) newsprint,
instead of the heavier, whiter paper that has been in use recently. Savings
will equal about $300. By using regular paper and with Diane using QUARK
to do the layout, it is expected that H2H will cost about $2,000 less per year
than previously.
Assignments
for the May issue will include pieces on RCIA and confirmation candidates.
Further information about assignments will be discussed at the March meeting.
Odd Couple
The program
has been rescheduled for March 18 – 21. Ticket prices are still $10 (adults)
and $8 (children) and include dinner provided by Christ United Methodist
Church. Wally Haarsgaard will replace Terry Aiken. Ads for the playbill are
still for sale: $25 – quarter page/business card; $50 - half page; $100 – full
page. This information is in the February 15 bulletin.
Website
Joe Risi, Tim Lippard and Larry Kwan
recently met and have agreed that it is necessary to redo the entire layout of
the website, to make it more efficient and user friendly. Cost will be between
$65 and $150. Joe will select a template he thinks will work best; will
present to Commission for review.
“Uncontrolled content” on the school website
has been eliminated (contact person: Roland Kennedy, teacher and ‘tech person’
at IHM School).
Sandy has not received a response regarding updated information for the Music
Ministry webpage; will try another tactic. Sandy will also start compiling a
list of committees to visit, to update their website information.
PPC
The January
meeting was cancelled due to the ice storm.
Two ideas for parish
fundraising were expressed: Diane suggested a fall “yard sale.” Other churches
do this and generate thousands of dollars in one day/weekend. Probably the most
difficult aspect is where to store all the “goods” until the sale, especially
large items (furniture). Storage units can be rented for minimal cost. Joe
suggested that during the yard sale, we sponsor a disk golf tournament on the
church grounds (open field). An entry fee would be charged, a few referees
would be present, but most of the game is run on the honor system.
REMINDER:
Don’t forget “New Member” social on
Saturday, February 21, after the 5:30 Mass. At least one member from this
Commission needs to attend and bring a dish; contact Frank at 993-7282 to
confirm your attendance.
Parish Renewal Publicity
Information about this year’s Renewal will
be on the front page of H2H, and in upcoming Bulletins. Also, Diane will
provide information to religion editors and the High Point Enterprise and
The News and Record. Barbara will provide the information to other Catholic
churches, for the “Community News” section of their bulletins.

Perry has chosen not to serve on this Commission.

January 12, 2004
This meeting was attended

Diane opened the meeting
with a prayer, asking for God’s guidance in this new year.

Heart to Heart
Diane reported
that by using a computer program to do the layout of the previous issue (instead
of having an outside printer do the layout), savings were $345! Diane will be
contacting two different printers to see who will offer the best price for
printing the next issue, for which Diane will also do the layout.
Deadline for
the Lent issue is Friday, January 30, it will go to press on February 19
and should be in parishioners’ mailboxes by Ash Wednesday (February 25).
A new banner
(the “heading” on the top, front page) will be adopted. Instead of a photo of
the church, it will be more like a drawing, neat and clean. It’s already in use
on other church stationery.
Diane has
solicited information from all parish commissions. Frank will remind leaders to
submit information for publication at the next PPC meeting.
“Odd Couple” Production
Postponed until
March – pending Fr. Jack’s “go ahead.” March will be here before we know it; as
in the past, this Commission will be responsible for publicity.
Website
Joe Risi was not able to attend this meeting,
but had communicated the following via e-mail: “I think the next step for the
Web site would be for Larry, Tim and I to get together and see how we can get to
where we want to be taking into account all the updates that other people
make regularly. I will let you know when the meeting is scheduled.”
Sandy will request correct information
regarding the Music Ministry page, and submit the corrections to Larry when
received. Also, the “new” Mass times need to include the Spanish Mass.

upcoming meetings.
It was
discussed what, if anything, should appear in Spanish in subsequent issues.
Barbara plans to research what the Spanish-speaking community would like to see
in H2H as well as in the Bulletin.

dated 12/4/03: There is a liaison for the Hispanic community already in place.
His name is Mario Lopez. I believe Fr. Tony has a list of several folks in
various positions already. Also, Jorge Ballesteros will be doing a separate

bulletins there. His wife Carla is doing the scheduling for the mass).
Odd Couple Production
The program has been postponed until next
March. This news came in time for a notice to be placed in the Advent issue of
H2H. Tickets prices were refunded; advertisers were contacted by Diane.

We
continued our discussion of what we need in selecting an overall format for the
IHM website: professional-but-warm, easy to read, easy to access links, easy to
update. Joe showed us a printout of a “FrontPage” template, and said that there
are dozens from which to choose. He will continue to shop and we will trust
his opinion. All commission members are welcome to enter “religious front page
template” in a search engine to take a look at what’s available.
We also looked at the current Bethany Society site and agreed it fits all the
requirements we’d like to see for all the commissions and committees: a mission
statement, current board members and committee heads (with phone numbers),
upcoming special events, calendar of scheduled meetings, and a “return to main
page” link.
Ann Marie has successfully acquired secure access in Meeting Room 2, so we can
access the website while in meetings.
Scott Zito (Family Life Commission Chair) gave us a CD with “hundreds” of
pictures on it from a couple of events. We’re asked to review it, choose a few
from each event, and incorporate them into a web page. Barbara currently has
the CD and it will be passed on to Sandy.
New Business
In regard
to sending press releases and notices to other area churches: Cindy has the
idea of creating (or tapping in to what Ann Marie may already have) a database
that includes current and accurate contacts to whom information should be sent.
(This came about as she was preparing to publicize “The Odd Couple.”) We’ll
start with Ann Marie.

Spanish Mass and other services: Fr. Jack advises not to expect too much too
soon. It will take awhile to determine what the Spanish-speaking community
needs, and what IHM can reasonably provide, bearing in mind that many may not
register w/ the parish. First priority is to provide for sacramental needs. We
are reminded that we are still one worship community.
Re:
Welcome Dinner on February 21: there have been about 100 new members join the
church, about 50 ? 60% are expected to attend the dinner..
Re:
December 8 is a night of global prayer for life. Special prayer times will be
on Dec 8 and 9 at the New Church and Chapel.

Heart to Heart Advent
Issue
Diane reported that we have a good, solid
issue coming up. On a technical note, Debby Davis (who is a graphic designer
and has helped with the programs of “Oliver!†and “The Odd
Coupleâ€) is doing the layout of this issue. Diane is learning
“QWARK,†the program that is used to produce a newspaper. By eliminating
the “middle man†(an outside printer) and producing H2H “in house,â€
Diane expects savings to be about $350 per issue. With this savings, and with
money already budgeted to this Commission, Diane hopes to purchase a non-profit
version of the software.
It was
mentioned that perhaps, in the distant future, H2H can be put on the website,
thereby eliminating the need for hard copies and the costs involved with mailing
them. This would require further consideration, however, and is a long way off.
“The Odd Coupleâ€
Sandy will
work on getting a “fall out†flyer put in this week’s bulletin. Publicity
continues to other High Point and Greensboro churches (Catholic and other
denominations as well). Diane is completing the program; copies will be made
during the week before the show. About $600 has been raised from advertisers.

Ann Marie
continues to work with Northstate Communications to obtain secure access to the
web in Meeting Room 2.
Sandy will
try to create a format that all commissions and committees will use, so that
information will be uniform, concise, and easy to update. We’ll start with
the Family Life Commission, because chairman Scott Zito has asked our commission
to help him put that commission’s information together.
Mickey
Boylan will be our contact person for updating the Youth webpage.
New Members
Frank has
asked that we include Barbara Dobbins on the list of recipients for these
minutes. She will try to attend the next meeting. Terry Aiken will work on
recruiting a representative from among the youth to attend our meetings.
PPC Update
Frank
reports that the “5th Sunday†collection will be for a different
cause every time there is such a collection. This month’s will be for a sound
system enhancement to assist the hearing impaired. Also, the first Spanish Mass
will be on January 4, 2004, after which Fr. Jack will be leaving the country for
a couple weeks; we are free to draw our own conclusions from that!

Stewardship Fair Follow
Up
This
Commission did recruit three potential new members: Nancy Mays, Barbara
Dobbins, and Carol Perry. All were invited to this meeting; however, none was
able to attend. Carol has already been given a writing assignment!

contact Terry Aiken in an effort to recruit at least one representative from the
Youth Group.
Heart to Heart –

Diane
reports that the upcoming Advent issue is coming along “swimmingly.” Among
other articles, Carol (see above) will be preparing an article on the Knights of
Columbus’ happenings. Stephen Martin will do a piece on the mass as it was 100
years ago, in recognition of the first mass celebrated in High Point 100 years
ago. Andrea Moran will submit an article about the Interfaith Network: its past
and future and IHM’s role in it.
Dinner Theater: “The
Odd Couple” : Thursday – Sunday, November 20 – 23
The revised
date was noted (the production will not occur on Nov 13 -16!) The
Thursday, Friday and Saturday evening shows will start at 7:30, with dinner
served at 6:00. The Sunday matinee will be at 2:30, with luncheon served at
1:00. Cost is $10 for adults; $8 for children; both prices include meals. All
meals arrangements are being handled by Christ United Methodist Church, where
the production will take place. IHM (this Commission) is handling publicity:
Diane is preparing a press release
Cindy will distribute the release to area media, as she did for“Oliver”
Diane, with help from Debby Davis, is preparing the program. As with the
“Oliver” program, when it comes time to copy, we plan to use IHM’s
mega-copier. Help will be needed from Commission members to tend to the
copier…expect calls.
Diane will submit a note in the Bulletin for advertisers…deadline is October 31.
Costs range from $25 to $150. Diane has recruited her husband, Brad, to solicit
ads from all previous advertisers.
Commission members are not being specifically asked to solicit ads, but are
certainly welcome to do so.
Website Update
Much time
was devoted to the subject of the website, but we still have more questions than
answers, in part because some Commission members are not well versed in the
whole arena of this technology! We did learn that inconsistencies to updates
occur because different people process the updates using different methods. We
need to determine who the server is (Northstate Communications?) and, for use in
helping other commissions update their sites, if we can access the internet at
the church. Joe explained that it is a fairly simple and relatively inexpensive
way to tap in to the network, but it does present a slight security risk.
Sandy will follow up with Larry Kwan and Ann Marie Bullock to determine if we
can access the internet using the ports in Meeting Room 2, and will also try to
format a uniform model that all commissions can use.
PPC Update
Frank advised that RCIA sponsors are still needed. On October 26, at the 11:30
mass, the sacrament of the Anointing of the Sick will be celebrated. On
February 21, 2004, the Stewardship Committee will host a New Member Welcome
Dinner, pot luck style. One representative from each commission will be asked
to attend and bring a dish – not to recruit, but simply welcome our church’s
newest members and be available to answer questions.

Christ United Methodist Church near High Point University. Diane will contact
Fr. Jack to determine details and exactly what this Commission needs to do for
this production.
Website update
As requested at the August meeting, all Commission members did indeed review the
website and determined that nearly every page and link is in need of revision of
some sort. Some changes will be requested immediately; others will need more
input before changes can be implemented. The agreed upon plan of action is
this:

Risi, and Tim Lippard to attend at least a portion of the October meeting
to address technical questions and concerns

August 11, 2003
Present at this meeting
were Frank Smoloko, Diane Jakubsen, Cindy Rintoul and Sandy Wall. Father Jack
Kelly was present for a portion of the meeting.
After Diane led the opening
prayer, the Minutes from the July meeting were approved.
New Business
Fr. Jack spoke
a few words of encouragement to the Commission members and discussed that one of
our upcoming challenges will be to communicate to the Spanish-speaking members
of our community at large and members of our own parish. Father is currently
learning enough Spanish to at least celebrate the mass in that language, and
plans to begin doing so in January 2004. He will also rely on the youth of our
parish to be a “gateway” to the Spanish speaking community.
Fr. Jack is also hoping to produce a couple more theatrical performances in the
coming months: with YM Terry Aiken, Neil Simon’s “The Odd Couple”
(indeed!) in November, and an-as-yet-to-be-determined show in the spring
(March?) of 2004. As with “Oliver!,” this Commission will assist with
ticket sales and publicity. Fr. Jack will provide details as soon as possible.
Heart to Heart
Diane reported
that the upcoming summer issue, scheduled to publish August 29, is looking
good. A few items that were mentioned in the previous month’s Minutes will
not appear: M.O.M.S. group (lack of information; the group has not been
formed yet); “Have You Ever Wondered?” (lack of inspiration); and Sr.
Johanna’s piece about R.C.I.A., per Fr. Jack’s direction.
This issue may
also include a short article directed primarily to our Spanish-speaking
parishioners, in an attempt to determine what needs are connected to the Spanish
mass.
Website
It was again
discussed how out-of-date some of the web links are. We questioned exactly
whose responsibility it is to make sure information is correct and timely, and
more or less concluded that since the Website is a “function” of the
Communications Commission, it is indeed our responsibility to ensure its
accuracy. Given that, at the next PPC meeting, Frank will again
encourage commission/committee chairpersons need to submit updated information
about their links. At the same time, each of us on the Communications
Commission is asked to take some time to look at various links. Those that
appear to be outdated will be printed and the chairperson will be asked to make
adjustments and corrections in writing. These can then be directed to Larry
Kwan for processing. This is an ongoing endeavor.

with the new Faith Formation Director and if he has no objection, it will run
again. It was discussed that perhaps a pair of “fresh eyes” to look over the
layout before publication would be helpful to catch such errors; members of the
Commission are certainly available to help with that.
August issue:
Deadline is August 8. Assignments and articles include:
Stephen Martin will submit stories about the Salesian Spirituality group, the
new IHM School principal Robert Wehde, as well as the “Cultural Corner” book
reviews.
Diane will cover the newly appointed/elected commission chairpersons; Spring
Fling; Vacation Bible School, the Knights of Columbus’ picnic pavilion, and the
new Faith Formation Director Fred Scarletto.
Sandy will do a piece about the new M.O.M.S. group and for “Have You Ever
Wondered” may explore either the Apocrypha or a parishioner’s question about
James as the “brother” of Jesus.
Cindy and Diane are working on “People in the Pew” regarding parishioners’
observations about traditions and rituals in other churches they have visited.
Website
Keeping the website updated is a constant
endeavor. Sandy had submitted several update requests and Larry Kwan and his
assistants are to be commended for their prompt attention. Commission and
committee Chairs need to be reminded to submit their updates to Larry!
PPC Update
Frank informed
us that the Oblate Support Appeal “went well.” Also, quotes are being obtained
for the installation of a colored window (similar to the one behind Our Lady in
the church) to be installed behind the choir area.
New Business
Frank showed us the publicity ad for IHM which
he submitted to High Point Realty magazine.
The Stewardship
Fair will take place September 13/14. Each commission member will need to be
present after one of the four masses to inform and recruit. Assignments will be
finalized at the August meeting. Commission members also need to be aware that
the December 2003 and April 2004 meetings will not be able to take place on the
second Monday of those months. Alternate dates will be determined.

Have You Ever Wondered? This feature will not appear in the Spring issue
of H2H, but a question that has been posed is, "What is the process for electing
a new pope?"
New Business:
IHM History: There has been some confusion about a "booklet" that was
supposedly prepared about the IHM church, however, no one seems to remember it
or be able to locate a copy. According to Ann Marie Bullock, the church's
Administrative Assistant, it may be about the construction of the new church.
Assignment: Diane will schedule a meeting with Father Jack to arrange for a
walking tour of the new church. During the tour, a verbal history will be taped
and transcribed. Further details of the "finished product" will be discussed
at a future meeting.
Budget:
The recently submitted budget allowed for $1,700 per issue (an increase of $100
from last year), plus $500 for the website. The main reason for the increase is
the expected increase in number of copies printed over the course of the year.
There were only two spare copies of the Lent issue. We prefer to have 100 for
marketing and archiving.
Miscellaneous Assignments:
Diane will represent the Communications Committee at the Parish Council meeting
on April 24; will solicit for a new chairperson.
Sandy will prompt the Bethany Society leaders to submit information for an
article for H2H.

Meeting Minutes
March 3, 2003
In attendance at this meeting were Cindy Rintoul, who led the opening prayer,
Diane Jakubsen, and Sandy Wall. The minutes of the February meeting were
approved.
"Oliver!"
Publicity of the show was the dominant issue of this meeting. Friday, March 7
is the deadline for submitting advertisements. We will try to produce a
"fallout" flyer to be inserted into an upcoming Bulletin, probably using the
same illustration as that for the playbills and programs. Advance and regular
ticket sales are being coordinated by Jacqui Miller. Programs will be copied
and collated using the Church's advanced copier on Monday, March 17 (and
Tuesday, March 18 if needed). Ann Marie will instruct Diane on the use of the
copier, and Diane and Sandy will spend time "baby sitting" the copier while it
does its work.
Logistics of the "dinner" portion of this "dinner and a show" production were
discussed and fretted over. (Postscript: it was subsequently decided that this
will not be a "dinner/theater" production. Maybe next time…)
Parish Council Meeting on February 24 was attended by Sandy, but
the meeting was quite dominated by members of the Finance Council. Other
commissions, including this one, really did not contribute to the meeting.
Attendance at the next PC meeting on March 24 was not assigned.
The Budget
Last year's budget information and a worksheet for this year's budget were
reviewed. Diane will talk with former Chair Al Guecia, complete the worksheet
and submit it to Glenda Terpstra in the Accounting department.
Heart to Heart
Unfortunately, the Lent issue will not be in parishioners' mailboxes by Ash
Wednesday, as originally hoped. Ice storms on February 27, dangerous roads,
power outages, and an illness at the publishing office have all contributed to
the delay in production. It will be about a week behind schedule.

February 9, 2003
The meeting was attended by Cindy Rintoul, Diane Jakubsen, Sandy Wall, and
former Chair Al Guecia. Diane opened the meeting with a prayer, and the minutes
from the January meeting were approved.
Duties of the Chair
Al provided written guidelines for the Chairman, including (briefly):
Act as liaison between the Commission and the Parish Council
Keep order at meetings: prepare agenda and follow it
Keep other members informed
Keep records: member roster, agendas and minutes
Submit a budget each year
"Oliver!" Promotion
Program: Al helped develop a plan for promoting the production and
obtaining advertisers for the program. He stated that we need some information,
specifically, the target amount of money that is hoped to be raised from
advertisers, and how many pages is the program to be. Al and/or Diane will be
in touch with Fr. Jack to determine these items. Al further suggested that we
start with those businesses that already advertise in IHM's weekly bulletin. Al
also named some parishioners who are prominent in the business community and
could be of assistance in soliciting ads. (Postscript: Al will coordinate the
sales team. The hope is to raise at least $1,000 from ads alone).
Larry Kwan had suggested we contact Debby Davis, whose husband Keith is the
Chair of the Stewardship Commission, to try to recruit her to the Communications
Commission. (Postscript: Debby will design the cover and layout the program.
She will do ad designs if necessary for contributing advertisers. She also
wrote an ad contract.) She may or may not join the Commission "permanently,"
but she will work on this "special project" at this time.
Publicity: There will be an ad in the upcoming Heart to Heart and in all
bulletins prior to the show. Diane will create a press release; Cindy will
distribute it to local newspapers and radio stations; Sandy will provide Cindy
with updated contacts to said media outlets. Debby and Sandy will work on
posters for the Gathering Space, Chapel and School.
Web Site
The "Heart to Heart" portion of the Communications Commission page of the
"Parish Council, Commissions, and Committees" site has been effectively
updated.
No further discussion about pictures on the web site, that is, subscribing to a
photo album/scrapbook, as mentioned in the January minutes.

January 13, 2003

representing the Website Committee. Sandy opened the meeting with a prayer, and
the minutes from the November 2002 meeting were approved. The Commission did
not meet in December.
Heart to Heart - Lenten issue deadline February 7; to publish February 27
Feature articles will include a piece by Diane about an adoptive family.
Stephen Martin is working on a piece about the Adult Education Program, headed
up by Sister Johanna. There will also probably be an article about Renewal week
during Lent. Diane will also check with Fathers Jack and Tony to discover if
there is anything in particular that they would like to see covered in the
Lenten issue.
People in the Pew: During the next couple of weeks, Cindy and Diane will
be interviewing fellow parishioners about their family Lent/Easter traditions.
Diane will put a notice in the Bulletin in this regard.
Have You Ever Wondered?: Sandy will prepare a piece about the sacrament
of Reconciliation.
Cultural Corner: Stephen Martin will present a few books. His piece
will not exactly include book reviews, as he may not have read them all.
Rather, he will simply present authors and books as food for thought.
Service Corner: To date, no other commissions or committees have
submitted anything for this space. Diane will put a notice in the Bulletin to
remind folks about this section. Also, Cindy will bring it up at the Parish
Council meeting on January 27, reminding other chairmen of its presence and
purpose.
Ministry/Volunteer Spotlights: Diane will write a piece (and/or assign
it) about the Property and Facilities Committee (ministry), and Mickey Boylan
(volunteer) who shepherds the alter servers and the new IHM Boy Scout troop.
Website Update
Joe Risi is one of Larry Kwan's assistants in keeping the website
updated. We discussed the cost of subscribing to a "photo album/scrapbook"
program to assist in archiving the many digital photos that are available of
IHM's events. Following is Joe's response to his research:

Further discussion and input will be required before we pursue this matter
further. Diane or Sandy will contact former chairman Al Guecia about this
Commission's budget and any other housekeeping items we need to know.
We discussed, with some embarrassment, the information that is on the
Communications Commission "pages" of the IHM website. It really needs to be
cleaned up and corrected. Diane and Sandy will be in touch with Larry soon!
Chairmanship
It was agreed that until a chairman is appointed, Cindy, Diane, and
Sandy will rotate attending Parish Council meetings. Cindy will attend the
January 27 meeting.
Other Business/Open Floor
We discussed whether Heart to Heart should be formatted to be visible on
the website, but no consensus was reached.
While discussing Stephen's book "reviews," we explored briefly the idea
of starting a book club in the parish, similar to the City of Greensboro's "One
City, One Book." No one volunteered to get this underway at this time, but it's
an interesting notion.
Diane mentioned that for the May issue of H2H, she may ask Dawn Martin to
submit a first-person account of the RCIA experience.
Al's comment about the unfortunate fact that IHM had no presence in the
recent Catholic News and Herald tribute to Bishop Curlin was mentioned. The
members of the Communications Commission had no knowledge that such a
publication was being prepared. CN&H's solicitation for entries was undoubtedly
sent to the church administration office.
Committee members are encouraged to continue recruiting new members.

meeting minutes were approved.
Heart to Heart
· Deadline for the next issue (Advent) is November 1, 2002.
· The Ministry Spotlight will focus on the Evangelization Commission, headed up
by Larry Kwan.
· The feature article will be Stephen Martin's piece on youth involvement in the
liturgy.
· Diane will contact Tish Miceli, a member of the Library Committee, to follow
up on a story about the library in the new church.
· This issue will include the new People in the Pew article. The question to be
posed to parishioners is, "What is the best or most significant change the new
church facility has offered to you?"
Assignments/Follow Up
Per above, Diane will submit a notice to be printed in the Bulletin regarding
People in the Pew. It will inform parishioners about the new feature and
perhaps solicit responses.
"Interviewers" for People in the Pew for the weekend of October 19/20 are as

They will be present in the Gathering space after masses to interview
parishioners.
Bulletin
Pursuant to complaints heard among the congregation, Sandy will ask that a
notice be placed in the Bulletin directing parishioners to be certain to turn
off their cellular phones upon entering the church.
Web Site Update
Cindy and Sandy both commented on inaccuracies and old information on various
pages of the web site. Al reiterated that at Parish Council meetings, he has
repeatedly told Commission Heads that they and other committee leaders need to
provide Larry Kwan with updated information as it becomes available.
Unfortunately, some committee leaders do not seem to be heeding this
instruction. It was discussed that some information (ministry schedules, for
example) is being distributed "in duplicate" or even "in triplicate": by mail,
in the bulletin, and/or on the website. How much money could be saved if
mailings were deleted? This will require further analysis and discussion.

Heart to Heart

Following are some of the feature articles that will be included:
· Expanded role of youth in the Mass (by Stephen Martin)
· Growth of the church (by Stephen), pending approval of Fr. Jack: why are the
attendance numbers increasing, but the weekly offerings are not increasing
proportionately?
· Interfaith Hospitality Network (by Brian Doyle): this ministry has been
featured in previous H2H issues. In October (date to be confirmed), IHM will
host its first family.
· The Giving Wreath: a closer look at the recipients of this tradition (author
not yet assigned)
· IHM's new statue of Mary at the wedding feast at Cana (author not yet
assigned).
Heart to Heart Enhancements
This meeting was largely dedicated to a discussion on updating and improving the
publication. Ideas presented include:
· On the paper's masthead, increase the size of the words, "Heart to Heart."
Also, create a logo.
· Have the first page include one small article in its entirety, and two or
three "teasers," that is, articles that begin on page one and are continued
elsewhere in the issue. This is to draw readers into the deeper pages of the
paper.
· More photos!
· Stephen and Dawn presented an idea for a new regular feature, tentatively
entitled "People in the Pew." This would include one question presented to
several parishioners. Their responses, accompanied by their pictures (and
perhaps some personal information), would be published. This is an effort to
"get to know" that person sitting next to you whom you see every week, but know
nothing about.
· Cultural Reviews: a section in which books, movies, music, theater would be
reviewed and even critiqued from a Christian point of view.
· Ministry and Volunteer Spotlights. This is not a new concept, exactly, but it
was dropped for a while and needs to be revisited. This section could also
include a "Service Corner," in which various commissions and committees could
list their needs (a few extra hands for this project, supplies, money, etc).
This would give parishioners an opportunity to volunteer when they can for what
they want, without having to actually become a member of the various groups
sponsoring the events.
"Have You Ever Wondered?"
Jeopardy Part II will be included in the Advent issue. It's not too early to
start thinking of questions to be addressed in the Lenten issue.
Website Update
Sandy continues to gather information to update the Faith Formation page. The
2002-2003 Program for Children calendar will be updated shortly. Cindy has
been updating the Communications Commission page.

Assignments/Follow Up
Per last month's discussion of updating the roster, Al has removed Grace
Bischoff and Heather Bischoff from the e-mail list. Heather will continue to
assist Matt in some aspects, however, such as helping man tables at various
events.
Matt accepted an assignment to write a piece about the group of men who have
started up an IHM softball club. This assignment is not due until the spring
issue of Heart to Heart. Matt entertained those present at the meeting with a
colorful account of some of the best, worst, and most painful plays he has
witnessed and experienced.
Stephen Martin has been asked to write a piece focusing on the expanded role of
youth in the Liturgy.
Heart to Heart Facelift
All Commission members are asked to continue thinking of what can be done to
make the layout of H2H more creative and engaging. This will be discussed at
length at the September meeting.
"Have You Ever Wondered?"
The summer issue of H2H will feature a "Jeopardy"-like game of questions and
answers, or should we say, answers and questions. The categories are Saints,
The Language of Faith, The Sacraments, The Ten Commandments, Mary, Creation, and
Lent/Holy Week. There are enough entries for this to be featured in two issues
of H2H.
Recruitment…and upcoming Stewardship Fair
The Stewardship Fair will be on August 24 and 25. The schedule for hosting our
table is:
Saturday, August 24 after 6:00 mass: Diane and Sandy (arrive at about 4:00 to
set up)
Sunday, August 25 after 9:00 mass: Cindy and Al
Sunday, August 25 after 11:00 mass: Matt and Heather
Matt and Al will investigate the possibility of hooking up a laptop computer at
our table, so parishioners may view the website.
Other ideas were sought for increasing our membership, especially attendance at
meetings for creative input. Sandy suggested that we each be responsible for
inviting one person to upcoming meetings. Each one of us is asked to
prayerfully consider the people we know, even on a casual basis, who we think
would be able to contribute to the Commission, and invite him/her to the
September meeting.
Bulletin
In response to last month's questions about certain announcements in the
Bulletin, Ann Marie Bullock (Parish Admin. Asst.) informs us that a) baptisms
will be announced in the bulletin quarterly; b) death announcements are not
listed in the bulletin because the deceased are mentioned in the prayers of the
faithful during mass, and c) banns of marriage (announcements that two people
plan to wed) are no longer required by the Church and are therefore not
included.
An announcement will be placed in the bulletin encouraging men of the
parish to come out on Sunday afternoons to play softball, and families to join
the spectator section. Games are played at 3:00 at the field at Oakview Baptist
Church, located at Johnson Street at Oakview (just a couple miles south of
IHM). Players should bring water; spectators should bring something to sit on
and something to drink. Kids might want to bring some activities to do, too.
There is a playground near the field, but it is not in very good condition. A
better playground is at the front of the church, but children playing there
cannot be seen from the ballfield.
Website
The Young at Heart Club recently sponsored an essay contest for IHM's 8th grade
class. The winning essay will be posted on the website for all to read. Diane
will ask Larry Kwan to put a "counter" on the page, so we can determine how much
it is viewed.

July 8, 2002
Present at the July meeting were Al Guecia, Cindy Rintoul, Diane Jakubsen, and
Sandy Wall. After an opening prayer, the minutes of the June meeting were
approved.
Parish Council Meeting
Cindy attended the most recent PC meeting and reported that Fr. Joe praised
Heart to Heart.
· Another fundraising "gala" was not discussed much. (Al added that it's really
too late now to start planning an event for this autumn; therefore, there will
be no such event this year, but plans will be made for an event in 2003. Al and
the newly formed Events Committee will start lining up sponsors.)
· A new "Coffee and Donuts" committee seems to be well staffed, according to
Brian Dilloway.
· The "Ministry Spotlight" and "Mini Stewardship Weekends" were not discussed
much, and for now, are dead.
· The PC is hesitant to approach new parish members with recruitment
opportunities.
· A definite "NO" was the response to Cindy's inquiry about whether or not
weekly homilies could be taped for those who are unable to attend Mass.
Assignments/Follow Up
Diane did interview Father Tony.
Bryan Doyle will do a story on Father Jack.
Al will call Matt Bischoff to see if he is available and willing to continue
being on the Commission.
Heart to Heart
Be reminded that the deadline for the summer issue is July 25. The focus of this
issue will be, of course, the shift in personnel at IHM as well as the
stewardship fair on August 24/25.
"Have You Ever Wondered?"
Sandy decided not to do a piece on priestly vestments because, well, it's a
rather dry subject. This column might be skipped over this issue, or might
feature some "Trivial Pursuit" type questions and answers.
Recruitment of New Members for Commissions
Al will again present the idea to the Parish Council that new members be
approached shortly after joining the church. Diane presented an example of a
non-threatening, no-obligation invitation for new members to consider what their
interests are and to attend a meeting of any commission which appeals to their
interests. Specifically, the Communications Commission could use three or four
more members who are willing to attend meetings and offer insight and fresh
ideas.
Bulletin
We looked over a couple bulletins from another parish, just to see how it
differs from IHM's. We will ask Ann Marie about including announcements of

Meeting Minutes
June 10, 2002
In attendance at the June meeting were Al Guecia, Diane Jakubsen, and Sandy
Wall. Following a prayer to open the meeting, the minutes from the May meeting
were accepted as written.
Website Questionnaire
Only one questionnaire was completed and submitted from a parishioner. The
website will continue to be improved upon and maintained. Other commissions
will be encouraged to submit information and updates.
Heart to Heart
Deadline for submissions to the next issue is July 25, in order for the
paper to publish by August 15. The summer issue will feature a profile of
Father Jack, the church's new pastor after Father Joe takes his leave. The
story will include Fr. Jack's vision for the church for the next year, etc., and
will be compiled by Brian Doyle, a new contributor to H2H.
"Have You Ever Wondered?" Article
Sandy reports that she has received no phone calls from parishioners regarding
questions they would like to see addressed. However, a fellow parishioner did
submit a story idea about the vestments that priests wear, so the next article
will be drawn from that. It may include pictures.
Recruitment
The "mini-stewardship day" on May 19 did not reap many new members. Kevin
Connolly, a TV reporter by profession, told Sandy that he would be willing to
accept writing assignments, but he cannot attend meetings because of his work
schedule. Diane will follow up with him. Al reported that Parish Council
members will be personally calling new parishioners to welcome them to the
Church. At the next PC meeting, Al will suggest that these phone calls include
recruitment efforts.
Other Unfinished Business
Al has written a letter to Father Joe, Father Jack, and Bob Katana (Parish
Council Chair) to announce that Communications Commission members should no
longer be asked to sponsor "welcome weekend" coffee and donuts, or to
participate in mini-stewardship weekends, or the occasional "ministry
spotlight".
The coffee and donuts ministry is currently being revamped, and, with
cooperation from the parish, will be managed by individuals instead of by
various commissions.
Neither the mini-stewardship weekends nor the "ministry spotlight" tables
are proving to be very effective in recruiting new members. Furthermore, the
Stewardship Commission has not provided a schedule for its "spotlight" program,
and the entire program seems to be on hold.
Al told the recipients of his letter that members of the Communications
Commission are extended enough, without these additional responsibilities.
New Business
All Commission members are asked to consider what changes they think would
enhance "Heart to Heart"…improvements, changes in layout, etc. All members are
strongly encouraged to attend the September meeting, when we will brainstorm
about changing the look of "H2H."

Discussion Topics:
IHM Website - Tim, Larry, and Joe joined the discussion to help us enhance our
current website. The website has been updated over the past several weeks, and
is looking much better.
A couple of items:
Cindy has digital pictures she would like added to the website. Tim offered
suggestions including adding a link for each group of pictures to an imaging
database. Info will be given to Cindy, Cindy will download the pictures and
forward to Joe for his review. Possible imaging sites include Kodak, Sony, and
MSN.
Tim/Larry will format templates that will allow the Communications Committee to
update specific info on the website. The Communications Committee needs a
volunteer that would like to perform this task. Larry will need to meet with
that person, and possibly do some updates to their computer.
Larry and Joe are working on a PDR link so the bulletin will be, look like and
print so it will mirror our Sunday Bulletin.
Larry suggested the Sunday Homily be recorded, and placed in the Library. Al
will bring this up in his next meeting.
Can we add a page of Links to Catholic related websites? Yes, send info to
Larry and he will work on this.

April 8, 2002
In attendance at the April meeting were Al and Betty Guecia, Diane Jakubsen,
Cindy Rintoul and Sandy Wall. Sandy asked the Holy Spirit for guidance in doing
God's will. The minutes of the March meeting were approved as submitted.
Heart to Heart
Diane had no new information since the March meeting. The deadline for the next
issue remains May 10, 2002. The next issue will include an advertisement for
the purpose of recruiting new members to the Commission.
Assignments/Follow Up
Sandy will ask Larry Kwan if Commission members may help with updating the
website (see next heading). Follow up: Larry reports that the sub-committee
could use assistance. The members of the sub-committee plan to attend the May
meeting.
Website Questionnaire
Cindy stated that before we ask parishioners if they use the website and what
they'd like to see on it, the website itself needs updating and cleaning up.
Sandy commented that she already updated the Faith Formation section and sent
the changes to Larry, who has input the revised information
Al will call a meeting with the website sub-committee (Larry Kwan and those who
help him with data entry) to discuss how information is updated and if
Commission members may be of assistance.
"Commission Spotlight"
Parish Council has not provided Al with an updated schedule of which commissions
are to be featured on what dates after all masses (refer to the "New
Business/Recruiting" section of the March meeting minutes). When that
information is received, the Bulletin will be updated. Meanwhile, there will be
a "Mini Stewardship Weekend" on May 18/19. The schedule for "manning"
the Communications Commission table is as follows:
Saturday, May 18 (after 6:00 mass): Al and Betty (get the banner out)
Sunday, May 19 (after 9:00 mass): Diane and Cindy
Sunday, May 19 (after 11:00 mass): Sandy and Matt (put the banner away)
All are encouraged to actively recruit new members from the parish. We need
writers and a Public Relations representative (who will maintain contacts with
local newspapers, television and radio stations).

Communications Commission will host Welcome Weekend on June 1 & 2
(instead of May 4/5). Details for providing coffee and donuts will be discussed
at the May 13 meeting.

save that for a future issue, perhaps. For the May issue, we’ll address the
question of divorced Catholics and whether or not they are allowed to receive
the Eucharist.

All commissions have been asked to represent
themselves, on a rotating basis, in the narthex of the church each week for
the purpose of exposure and recruitment. The Communications Commission was
present after all masses the weekend of March 9/10. It was discussed, however,
that parishioners in general may not grasp why the various commissions are
there! Therefore, an explanation will appear in weekly Bulletins. Diane will
write the piece and provide Ann Marie in the Administration Office with the
rotation schedule for weekly updates.

Heart to Heart
The publication will go to press on February 14, a few days later than
originally planned. The delay was inevitable in order to get the most up-to-date
photos and details from the Church dedication.
Deadline for the next issue is May 10; it will go to press on about May 30.
Church Dedication
It was agreed that the entire affair was a great success. Thanks to all,
especially Al, Betty and Matt for all their hard work, time and dedication. The
new Communications Commission Banner is beautiful, and was prepared by a man who
had never done such a thing before. Amazing! May it serve the Commission well
for many years to come.
Web Site Questionnaire//News for Web Site from Larry Kwan
Cindy plans to refine some of the questions and insert the questionnaire in a
bulletin in April, after Easter.
Larry is asking all commissions to use the site to relay the majority of their
information (schedules, meetings, etc.).
"Have You Ever Wondered?"
At least two subjects were considered, and both questions, as is often the case,
led to additional questions.
1) "Can a divorced and remarried person receive Communion?" This question could
easily lead to a discussion about annulment and remarriage in the Church.
2) "May the host be dipped in the wine before being consumed?" This second
question arose because it was noticed that Bishop Curlin did so during the
Dedication mass, yet Father Joe has always maintained that the practice is not
only unnecessary, but against Church doctrine. There is definitely a conflict
here.
Other Unfinished Business
The Statement of Purpose, which will define this Commission's reason for
existence, is being refined and will be submitted at a later date.
New Business
Al will work on updating the Commission Roster.
Assignments
Parish Council would like to see all commissions present themselves on various
weekends, for exposure and recruitment. The Communications Commission will "man
a table" on March 9/10, as follows:
Cindy - Saturday, March 9, after 6:00 p.m. mass
Al - Sunday, March 10, after 9:00 a.m. mass
Diane - Sunday, March 10, after 11:00 mass
Any other Commission members who are present are encouraged to lend a hand.
In May, the Communication Commission will be responsible for coffee and donuts

January 14, 2002
In attendance at the January meeting, were Al and Betty Guecia, Diane Jakubsen,
Cindy Rintoul and Sandy Wall. After a prayer invoking Our Lady's blessing, the
Minutes from the December 2001 meeting were approved as written.
Heart to Heart Update
The deadline was extended to Friday, January 18. No one on the Commission has
heard from or seen an article submitted by Ray Rubner, so he will be deleted
from the mailing list.
Church Dedication
Publicity:
Father Joe has faxed a letter (a copy of which was available at the meeting) to
Joann Keane, Editor of The Catholic News and Herald. We understand that Ms Keane
will cover the event for the Diocesan newspaper.
Cindy will submit the information for a 2x2 ad in both The News and Record and
The High Point Enterprise inviting the public to the Friday night concert with
Tom Kendzia.
Sandy will submit press releases to both local newspapers requesting coverage
for the public concert and the private Dedication ceremony.
Al will confirm that Heather has requested television coverage.
Response cards:
Betty was to have picked them up from the Church office on Tuesday, January 15.
On Friday, Betty is scheduled to meet with the caterer at the Church, so he can
view the layout and facilities available. Betty will also take care of the
entertainment (food) for the pre-ceremony "party" with the Bishop.
Refreshments: The Knights of Columbus will provide beer, wine, and soda for the
post-ceremony reception. Tea will be provided by the caterer.
Banners: The Liturgy Commission is collecting them and will organize their
placement in the church.
Music for the Reception: Parishioner Ken Cushing and his band will play.
Parking Assistance: Al will ask Terry Aiken to organize the Youth to direct
parking. Diane will submit a notice for the Bulletin emphasizing that carpooling
will be necessary.
Assignments/Follow Up
Cindy provided a draft of a questionnaire to obtain information about our
parishioner's use of the web site. This will be finalized and issued after the
Dedication.
There will be no "Have You Ever Wondered?" column in the Lenten issue of H2H
because of an apparent lack of questions (!). Sandy suggested subscribing to a
publication called The Catholic Answer, which is full of questions and answers
such as those we have seen in H2H. It would at least give us ideas.
New Business
At Father Joe's request, Diane had asked (via e-mail) Commission members to
formulate a "mission statement" for Heart to Heart. Sandy submitted a written
outline of the newspaper's purpose; other members agreed with the points
presented. It was discussed that the paper should be upbeat and inspiring, and
should provide information about our Faith Community's organizations and events.
It is not designed to be a forum for complaints and grievances.

Heart to Heart
The Advent issue was excellent. In regard to the
upcoming Lenten issue, Diane made note of the following:
- Front-page news will be about the Dedication on
February 3.
- Deadline for this next issue will be SOON:
January 14, in order that the paper will be in parishioners’
hands by Ash Wednesday (February 13). Diane will write up the Dedication
event, with Al and Cindy providing digital photos that can be submitted
at the last minute. Jim Koch is a professional photographer who may also
provide photos.
- Other topics that would fit well in the Lenten
issue include:
-Parish renewal on March 4,5, and 6 (tentative
dates)
-Simplicity meals on Fridays
-Community Outreach Commission – Interfaith
Hospitality Network
-Prison Ministry (Stephen Martin will do a story

Dedication Update
Media coverage: Al will contact the Diocesan
newspaper to get coverage for the event. Betty will contact the News & Record
and High Point Enterprise. Heather will be asked to contact

Cindy will create a questionnaire to be included
in a future Bulletin asking parishioners if they are using the web site, what
information they seek that is not included on the site, etc. Results will be
submitted to Larry Kwan for his use in maintaining the site.
Matt continues to work with a professional banner
designer to have a banner made for the Commission. Incidentally, Al was told
that several other banners belonging to church groups were "located."
New Business
"Welcome Weekend" was discussed. We were reminded
that the purposes of this monthly event are to provide an atmosphere of
fellowship for parishioners, and to provide a place for various organizations to
promote their causes. With that in mind, "Weekends" in the new church will be
hosted by the various church organizations. The Communications Commission will
host the "Weekend" in May, 2002. By then it should be clear where the 50-cup
coffee maker is stored.

November 12, 2001
In attendance were Cindy Rintoul, Matt Bischoff, Al Guecia, Betty Guecia, and
Sandy Wall. Cindy opened the meeting with a prayer that specifically
lifted up those killed in the plane crash in Queens, NY. A motion was made and
seconded to approve the Minutes of the October 8, 2001 meeting.
"New member" Ray Rubner was not present. Diane was contacted by phone, and
she was asked to call him to determine if he wants to be on the commission or
not. (Follow up: he may want to contribute to Heart to Heart, but is too busy to
attend meetings; wife is expecting a new baby soon.)
Heart to Heart
Ready to go to press. Commission members need to
start thinking about features for the Lenten issue.
New Church Dedication
Scheduled for Sunday, February 3, 2002 at 2:00 pm.
The ceremony should last about two hours, followed by the reception. Betty will
meet with Liturgy Commission members to work on the wording and design of the
invitations, which will need to be mailed by December 29 (response requested by
January 15, with $5 per family donation). Al reported that the Parish Council is
pleased with the food arrangements ("pig pickin’" provided by Don Latham
Catering). We’ll meet with Mr. Latham on January 5 at the new church so
he can plan the arrangement of the on-site cooker, etc. Matt reports that the
tent is on order. Iced tea is included with the dinner, but additional soft
drinks and beer will also be available. Sandy will contact the Knights of
Columbus to inquire if they would be willing to deliver and distribute these
beverages (at no cost to the KC; there is money in the budget for this expense).
Assignments/Follow up
During the meeting, we designed what we think will
be a nice looking banner. Matt sketched it out and will contact a professional
banner-maker.
News for Web Site
Pictures of the new church, as well as the
address, have been posted. Larry Kwan is looking for ideas as to what to put on
the web site. Our suggestion, which Al will convey to Larry, is that we ask the
parishioners what they would like to see; what information they would look for
that can’t be found in the weekly bulletin or in Heart to Heart.
There being no further business, the meeting was partially adjourned. Members
of the Liturgy Commission (including Father Joe and Father Jack) joined us to
discuss the Dedication and communicate with each other our plans for the day.

October 8, 2001
Present at the October meeting were

Rintoul, and Sandy Wall. Matt opened the meeting with a prayer. A motion was
made and seconded to approve the Minutes of the September 10 meeting.
Heart to Heart - Previously arranged assignments were reviewed.
Deadline is October 23, 2001.
2001 Odyssey Gala
The Gala was a total success, with several guests
asking if this will be an annual event! The final figures were not yet
available, but it is estimated that five to six thousand dollars was
raised for the new church. Over one thousand
dollars was collected for the "50/50" raffle, and both winners graciously
donated all their winnings back to the cause. A job well done by all!
Dedication
At the August meeting it was noted that the date
of the Dedication was scheduled for Sunday, February 3, 2002. Due to the
September 11 attacks and subsequent disruptions in air travel and playing
schedules, the NFL Superbowl has also been rescheduled for February 3. Our
concern is that the Dedication festivities will not be well attended because
parishioners will be involved with their own private parties. We were informed
that even the Bishop (who is supposed to celebrate the Dedication Mass) usually
hosts a Superbowl party for his friends and associates. Also, arranging for a
caterer on Sunday is difficult. Therefore, Father Joe will be approached with
the request to change the date of the Dedication to Saturday, February 2, 2002.
It was again mentioned that "invitations" will
need to be mailed to all parishioners with a reply card indicating how many
people will be attending, and asking for a $5 donation from each family. The
donation’s purpose is to obtain a commitment, not to cover expenses. We’ll need
a fairly accurate head count to arrange for refreshments. Al will continue to
investigate caterers. It was suggested that The Knights of Columbus be asked to
donate drinks for the event.
Al will arrange a joint meeting (in November,
perhaps) with members of the Liturgy Commission to plan the details of the
Dedication. Heather and Matt Bischoff were appointed to be the Sub-Committee
from our Commission to work with the Liturgy Commission.
All commissions and special interest groups of our
church will be asked to "fly their banners" at the Dedication. Several
suggestions for our banner were voiced. Heather and Matt will work on having a
Communications Commission banner designed. It was suggested that they contact
Margaret Haarsgaard for assistance.
Construction Update - The blacktop is in place. All appears to be on
schedule.
Website News – Photos from the gala will be posted.

September 10, Present at the

We had hoped to introduce and welcome a new member to the Commission, Ray
Rubner, however, Ray was unable to attend.
Heart to Heart
According to Diane Jakubsen, everything is on schedule. Please refer to the
Minutes of the August 13 meeting to review your individual assignments. Deadline
is October 23, 2001.
2001 Odyssey Ball
Ticket Sales - To date, about 120 tickets have been sold. It is hoped that
another 100 to 130 tickets will be sold in the next two weeks. To that end, we
will have two ticket-sale tables set up after all masses the weekends of
September 15/16 and 22/23. A separate e-mail will be sent with assignments for
manning the tables.
Special Donations – This program, which was designed to encourage corporate
sponsorship, has not been successful. Only two donations have been received, at
the "bronze" level. Therefore, a program that recognizes sponsors will not be
printed as previously planned, unless we receive donations at the "platinum" or
"diamond" levels.
Finishing Touches – Centerpieces will be needed for the tables. Please
contact Heather and/or Betty with your creative ideas! Prizes (as
promised on our posters) are also needed, so all members of the Commission are
assigned to solicit donations from anyone with whom you do business!
*** A special meeting will take place on Tuesday, September 25, at 7:00 at Al
and Betty Guecia’s home to discuss the final details of the event. ***
On September 29, Commission members are invited to meet at the Country Club
at 1:30 to help set up centerpieces and all the other finishing touches. Details
at the 9/25 meeting.

Betty opened the meeting by offering thanks to God, and asking for His
guidance. A motion was made and seconded to approve the Minutes of the
July 9, 2001meeting.
Heart to Heart
A very special edition will be published for the
Advent issue (print date: approximately November 20). In this issue, some of the
principle people who have made the new church a reality will be highlighted, in
addition to regular features. Diane provided a list of some of these people, and
assignments were made as follows:
-- Stephen - interview Perry Kairis, head
of Planning/Building Committee; architect Mark Anthony; and the
project manager from John Clarke Construction
(Ronnie Price?). Stephen will also gather some demographic
information about our parishioners
-- Matt - highlight special events
(groundbreaking, dedication, etc) connected to moving in to the new church

parishioners who were here when the current church was built

include and what services will remain at the present location; also,

Odyssey Gala
An "ad" will be printed in each bulletin until the
event, and the next "fallout" will be the week prior to September’s
"welcome weekend" (that is, August 25/26).

sales/pledges are not materializing as abundantly as hoped. To boost income, all
of the various business partners/trade companies involved with the building of
the new church will be asked to sponsor the event at different levels (platinum
= $2,000; diamond = $1,500; gold = $1,000; silver = $500; bronze = $250 - 100).
A program will be written to recognize sponsors, and sponsors will receive other
benefits commensurate with their level of donation. Al shared a draft of Parish
Councilman Bob Katana’s letter which will be sent to the trade companies, and
which provides details of this effort.
Commission members
are again encouraged to ask "influential" members of the parish to sell tables
to their business associates.
Construction Update
Grace was not present to
provide details, but the word is that construction is ahead of schedule.
Dedication Date Change
The date has been
changed from Saturday, February 2 to Sunday, February 3. It is expected that
masses on that weekend will include the vigil mass on Saturday evening, one mass
on Sunday morning, then the dedication mass at 2:00 p.m., followed by the
celebration. Invitations with reply cards will be sent to all parishioners; a
small donation of $5 per family will be requested. More on this as the date
approaches.

Meeting Minutes
June 11, 2001
In attendance were Matt Bischoff, Al Guecia, Betty Guecia, Diane Jakubsen,
Cindy Rintoul and Sandy Wall. Matt led us in prayer and encouraged us to
do our best for God’s glory. A motion was made and seconded to approve the
minutes from the previous meeting of May 14, 2001.
2001 Odyssey Gala
- Al reported that the Parish Council is supportive
of ticket sales and other fundraising efforts. Al has already recruited
several of his associates to commit to try to "fill tables" by selling
tickets to three other couples per table.
- Matt reported that the printed tickets were
donated, providing a savings of about $50. The posters, however, will
probably not be donated.
- Tickets for the Gala will be sold after all masses
during the next "Welcome Weekend". The assignments for manning the sales
table is as follows:

Heart to Heart
July 31 is the deadline for submitting items for
the August issue. The main focus of the upcoming issue is the Ministry Fair on
August 25 and 26. We could still use some thought provoking questions for the
"Have You Ever Wondered?" column; if you have a question about Catholic
doctrine, practices, etc, please contact Matt so he can do his research and get
his findings approved by Fr. Joe.
Web Site
Al reported that the web site is experiencing some
technical difficulties, which will be corrected. Diane will provide e-mail
addresses of Parish Committee heads to Larry Kwan for his use in updating the
site.
New Business
Matt mentioned that a fellow parishioner asked him
why IHM is not listed in the church directory of the News & Record. The
reason is because it costs $50 per week, and apparently no one in the parish has
offered to donate to that cause. It was agreed that mainly new residents, who
can get the information from the telephone directory or word-of-mouth, probably
use the N & R directory.
Dedication of New Church
It was agreed that Saturday, February 2, 2002, the
date suggested by Fr. Joe, would be acceptable for the dedication. That day is
the Feast of the Presentation of the Lord. Father proposed that Mass be
celebrated at 2 or 3 in the afternoon. This would be followed by an "open house"
featuring heavy hors d'oeuvres, beer, wine, soft drinks, and self-guided tours
(with "guides" stationed throughout the building). Because the building will not
accommodate the number of people expected (there are 1,034 registered families),
Grace Bischoff will investigate the possibility of renting a tent to house the
overflow. Projection televisions may be utilized. It was suggested that a
"donation" of $5 per family be collected, not so much to defray the cost, but to
determine a head count so that an appropriate amount of refreshments can be
ordered. Betty will investigate caterers. More to follow…

Meeting Minutes
April 9, 2001
7:00 p.m.
In attendance were Matt Bischoff, Al Guecia,

There were no minutes from the last meeting
to be reviewed.
Fall Fundraiser for New Church
It was agreed that
the name of the fundraising event to be held on September 29, 2001 at 7:00 p.m.
at the High Point Country Club would be the 2001 Odyssey Gala. Matt
Bischoff will create an advertisement to appear in the May issue of "Heart to
Heart." Matt will also design tickets for the event.
After viewing a
videotape of one musical group, and listening to the cassette tape of another,
Committee members selected a group called "Timepiece" to provide music for the
gala. Betty will complete the negotiations with their agent.
Tables at the
event will seat eight. The cost will include three bottles of wine per table,
and a cash bar will be available. As yet, it is undetermined if dinner will be
served as a buffet or as a sit-down dinner. If more than 200 to 225 tickets are
sold, dinner will be a buffet.
Parishioner Mark
Norcross has graciously offered to host a private reception at his home for
anyone who donates $1,000 or more; details will follow. Other opportunities for
guests to contribute will include a "50/50" lottery and perhaps a "silent
donation" for various items needed for the church interior.

May 4 is the
deadline for items to be submitted to Diane Jakubsen for the May issue of "Heart
to Heart." She can be reached at 454-5640.

Web Site Ad hoc Committee Report

Larry Kwan greeted the members with a warm welcome and a prayer to say thanks
to our Heavenly Father for the opportunity for all the members to contribute
their time and talents to the web site project and to ask for continue guidance
an support to help us to keep up our vigor and enthusiasm for the next phrase of
our project. All enjoyed fellowship and a delicious meal from Papa John's Pizza.
Larry Kwan opened the meeting by thanking Tim Lippard for single-handedly
providing a 'finished' product for the church in a very timely fashion. The
committee is very proud that the site is launched and running within a short 3
months period. Larry Kwan also expressed profound gratitude to Ann Marie and
David Kempa for their great effort in helping put the site together. Larry also
expressed his warm welcome to the newest member, Nelson Hedrix, who is well
verse in Web design.
Ann Marie has provided some input from Father Joe on some minor changes on
the site, which will be done by Tim, per father Joe's instruction. Ann Marie
also mentioned that Father Joe is very pleased and proud of the committee's
accomplishment. Ann Marie also will be working with Mass in Transit which
has provided a web site to forward a link direct to our site .
Discussion of deadline for submission of web site material has brought the
decision that a 5 days turn around time will be necessary to post the incoming
information to the web site. Tim Lippard will also add a link to the front page
to direct web site update input to the proper channels.
It is agreed that Ann Marie will be responsible for the updating of the
Parish Council Directory, Sunday Bulletin, Sacraments, Salesian Devotions , IHM
School and School New buttons. Larry Kwan and David Kempka will be responsible
for the Council, Special Events and Youth Ministry buttons and Nelson Hedrix
will be responsible for development and updating of the 2001: A Church Odyssey.
The committee feels that the 2001 button will be the most dynamic and active
sub-page of the site and more intense and diligent effort will be focused there.
They also agree to make the Building Use Schedule button to include more than
one week activities, to prevent premature update dilemma. It is also agreed and
decided that both Tim and Nelson will look into making the Building Use Schedule
interactive and more dynamic in the very near future to accommodate the expected
scheduling increase when our new church is in use.
Tim Lippard agreed to stay on the committee to continue upkeeping and
refining the web site. Larry Kwan also recommend Nelson work with Tim to look at
the present site and clean up any missing links created by updater's. They will
both look into beginning the second phrase of possible enrichment of the site
with graphics or multimedia when it deems appropriate and approved by the
committee. Larry will also ask Tim and Nelson to start putting our site into
search engine, etc., so that the public will have easier access to our site.
Larry will continue to serve as a clearinghouse for information that will be
going into our web site. He will work closely with Ann Marie to ensure the
accuracy of the content.
Larry re-emphasized that this committee will not have many meetings and all
details will be related through email and everyone will have a copy of all
correspondence to avoid duplications of efforts. Larry will also ask members to
review the minutes and respond within 5 working days for correction and
clarification before posting of the minutes to the site.

Larry Kwan opened the meeting with a warm welcome and a thank you to all the
members for joining this ad hoc committee. Ann Marie, our church secretary was
excused from this meeting due to imminent church duty. She will be actively
involved with this committee by providing us with needed data as we progress.
Larry introduced the goal for this committee: to set up a bilateral
information tool and vehicle, via the Internet, to support communication for the
entire Immaculate Heart of Mary church family. The advantages and benefits of a
web site is its ability to provide and retrieve the most current
information with maximum speed and less effort than other media’s.
The web site will serve primarily as an information center to collect and
disseminate church information to the entire church in general. It will also be
set up to provide specific information that is pertains to different commissions
via password entrance.
Larry stated that this committee will not have many meetings and all details
will be related through email or the Internet. It is understood that the
‘finished product’ will be reviewed by the Communication Committee and the
Parish Council for approval before Launching.
Tim Lippard, whose wife Dawn is a parish member, has volunteered to build the
site. Bert Burton, who is well-versed in commercial web site design, will
support the process with the resource of his advertising firm. David Kempka also
volunteers to help and learn with the process. David, Larry and Ann Marie will
be responsible for the updating of the site once it is launched. The Site will
be updated frequently. The site will be set up so that it will not require any
technical knowledge to update and edit the content.
Larry has volunteered to become a clearinghouse for information that will be
going into our web site. He will put an ad in our church bulletin and to the
parish council to announce the ‘groundbreaking ‘of our web site. He will also
request commission heads to forward a complete list of their subcommittee and
groups within the church umbrella. He also will write an article in the coming
issue of Heart to Heart advertising the coming web site and also to solicit
information and suggestions from the entire parish. It is agreed that no web
site name will be announced to the public until the site is ready and approved.
Larry will start soliciting and assimilating data to be built into the web
site once all the different parish groups and their chairs are identified. Bert
is now in the final process of securing the domain names of both ihmchurch.org
and ihmchurchnews.org for the church and he has graciously donated the $75.00
that is necessary to secure the domain names. Al Guecia suggested Tim to log
into www.ihm.org to get some idea of other church’s design.
Tim estimates that he will have a rough shell of the web site available back
to the committee within 2-3 weeks.

will be in contact by email.
